Job Description:
Madison College his hiring an Administrative Coordinator. The Administrative Coordinator supports a team and program, serving a diverse, under-resourced student population who are incarcerated in the state of Wisconsin and who receive education through the Second Chance Pell initiative. This position has a variety of administrative responsibilities, including creating and maintaining documents, setting up and modifying student accounts, ensuring courses are set up accurately, and purchasing and shipping inventory. Excellent attention to detail, collaboration, communication, follow-through, and the understanding and ability to maintain strict confidentiality are essential in this role.

This is a full-time, non-exempt, 40 hours per week, 52 weeks per year position. General working hours will be Monday through Friday from 8:00 a.m. – 4:30 p.m. Some option for remote work is available per college policy. This posting may be used to fill similar vacancies that occur within 12 months of the first consideration date.
Madison College offers a generous benefit program including health and dental benefits and participation in the Wisconsin Retirement System (WRS). The employee selected will serve a twelve (12) month introductory period.
Duties/Responsibilities:
- Create and maintain program documents which include marketing materials, student handbooks, admission, and registration packets. Run reports and upload documents using college databases.
- Purchase, maintain, and ship necessary student materials to sites based on enrollment. Order and monitor the receipt of student transcripts necessary for student admissions.
- Accurately create and maintain student accounts, which includes but is not limited to account set-up, adding and removing student values for proper reporting and billing, and enrolling and withdrawing students from courses.
- Create and maintain the necessary program courses in Peoplesoft. This includes understanding program course requirements to restrict student enrollment and ensure students and/or contracts are billed correctly.
- Maintains a commitment to the college mission, vision, and values.
- Coordinate program event logistics, such as reserving space, inviting speakers and guests, and ordering refreshments.
Knowledge, Skills & Abilities:
- Excellent oral and written communication skills while collaborating with diverse socioeconomic and culturally diverse populations and persons with disabilities.
- Skilled in maintaining confidentiality.
- Attention to detail, organization, collaboration, and follow-through skills.
- Demonstrated skill with Microsoft Office and Adobe products.
- Knowledge of or ability to learn database systems and other software, example Peoplesoft and OnBase.
- Understanding of or ability to learn purchasing and inventory maintenance.
Qualifications:
1. Associate’s degree from an accredited college, or equivalent experience. *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
2. Two (2) years of related work experience related to the skills required for successfully performing this position.
3. Ability to pass the annual Department of Corrections background checks.
