Job Description

The Administrative Assistant, under the supervision of the Chief Operating Officer (COO), is responsible for supporting weekly administrative tasks, including organization of new employee onboarding tasks, management of >150 employee timecards, and payroll oversights within the general outline established by the COO. The Administrative Assistant reports directly to the COO and works closely in the day-to-day management of onboarding and payroll functions. While the Administrative Assistant may work with other members of the leadership team, this position is responsible to the COO. Work may be completed remotely

strative Responsibilities

  • Handle administrative requests and queries from senior managers
  • Assist in on-boarding of new staff
  • Maintain organization of HR files and monitor for renewal of annual compliance requirements
  • Support payroll and benefits, which includes timecard management and reconciliation, as well as timely submission of payroll on a bi-weekly basis
  • Support accounts receivable and payable, including client invoicing and collections
  • Help to ensure that the company operates within budget
  • Provide regular and ad hoc financial reporting
  • Ensure proper documentation for expenses, income, and other expenditures in the accounting system.
  • Oversee maintenance and upkeep of business platforms
